11 Creative Ways to Design Around an Awkward Event Venue

Every event planner eventually meets that venue. The one with the weird column smack in the middle of everything. The ballroom that’s shaped like a shoebox. The industrial space with pipes everywhere. Or the gorgeous NYC loft that somehow has one tiny elevator and a load-in situation nobody mentioned during the tour.

Don’t fight the quirks. Work them into the plan. Some of the coolest event designs happen because the space forced everyone to get a little more creative.

1. Turn That Random Column Into Something

If you can’t move it, decorate it. Wrap columns in florals, greenery, lighting, mirrors, fabric, branding, photos, or something completely unexpected.

Suddenly, that annoying obstruction looks suspiciously intentional.

2. Make Weird Corners Useful

That little alcove nobody knows what to do with? Give it a job.

Add a mini cocktail bar, photo moment, tarot reader, dessert display, lounge, audio guestbook, or another small activation. Guests love finding something tucked away.

3. Stop Trying to Center Everything

Sometimes symmetry is the problem.

If the venue won’t cooperate with the classic stage-at-one-end setup, shake up the floor plan. An off-center dance floor, corner stage, curved seating arrangement, or bar in the middle of the action may work much better.

4. Hide the Ugly Stuff

We’re looking at you, utility doors.

Draping works, but so do scenic walls, greenery, decorative panels, shelving, oversized signage, and strategically placed installations. Just make sure you’re not covering anything the venue needs accessible.

5. Use Lighting as a Distraction

Guests tend to look where you tell them to look.

Wash an unattractive wall in color. Pinspot gorgeous tables. Project a pattern overhead. Create a dramatic glow behind the bar. Good lighting can pull attention away from a venue’s less photogenic features without adding piles of decor.

6. Make Different Rooms Feel Like Chapters

A chopped-up venue doesn’t have to be a headache.

Give each room its own purpose. Cocktails here. Dinner there. Dancing around the corner. Dessert somewhere else entirely. Now guests are moving through the event instead of wondering why everything couldn’t fit in one room.

7. Lean Into the Architecture

Exposed brick? Keep it. Old beams? Show them off. Industrial pipes? Maybe they don’t need to disappear.

Trying to make a raw venue look like a traditional ballroom can get expensive fast. Let the architecture set the tone and choose decor that plays nicely with it.

8. Get Creative With Seating

An odd floor plan might be begging you to ditch the sea of identical round tables.

Try long tables, smaller rounds, banquettes, cocktail seating, or mixed lounge areas. Different seating styles can tuck into spaces that a traditional layout simply can’t handle.

9. Give the Awkward Spot Main-Character Energy

Sometimes hiding a weird feature only makes everyone notice it more.

So go the other direction. Put a massive floral installation around it. Add neon. Turn it into the champagne station. Build the photo op there. Make guests assume you chose the venue specifically because that feature existed.

Sneaky? A little. Effective? Absolutely.

10. Think Up, Not Out

Short on usable floor space? Look overhead.

Hanging florals, suspended installations, fabric, lighting, disco balls, greenery, and other ceiling treatments can bring in plenty of design without stealing another inch from guests, servers, or the dance floor.

11. Walk the Venue Like a Guest

The floor plan might look perfectly reasonable on a laptop. Then you actually walk it.

Can guests find the bar? Are chairs blocking a major pathway? Does that beautiful installation create a bottleneck? Is everyone going to pile up outside the bathrooms?

Do a real walkthrough before event day and follow the guest journey. Awkward venues tend to reveal their secrets pretty quickly.

Weird Space? Meet Better Vendors.

The right creative partners can look at a questionable corner, strange ceiling, or inconvenient floor plan and immediately start throwing around ideas.

That’s exactly why connections matter in this business. The Event Planner Expo puts event planners, designers, rental pros, venues, entertainers, caterers, and other creative partners in the same room. Reserve your booth at The Event Planner Expo and show NYC’s event community what your company can do when a space needs a little imagination.
