Excel Tricks for Every Event Planner

For many professionals, Excel is a godsend. It can help you manage your contacts, quickly analyze data, and present in a way that’s easy enough for anyone to understand. But it can be intimidating if you’re not accustomed to using it.

Here are 4 Excel tricks that any event planner with Excel can take advantage of. Simply try them out and see how they can transform your work effort for the better.

1. CountIF Formula

Is attendee information an important part of your planning efforts? Do you need a better way to quickly pull where attendees are coming from, or count how many are coming from a specific group? Then you should use the COUNTIF formula!

This formula allows you to count the number of times a phrase is mentioned in a specific row or column. Simply plug the search term you’re looking for into your desired range, and you’ll see how many times it appears. This makes tabulating attendees by group incredibly easy.

2. Checklist Feature

Did you know that Excel comes with its own Checklist feature? This makes it easy to do things like check participants in, and make sure all delegated tasks are taken care of before the event.

This feature is available within the Developer tab in Excel, which hosts a range of hidden tools the average Excel user rarely knows about.

3. Conditional Color Coding

One of Excel’s best features is conditional formatting, which highlights certain cells based on criteria. This feature is particularly helpful if you need to look at a certain demographic for your events like attendees of a certain age or gender. You simply choose the range of cells you want to look at, the criteria you wanted to be highlighted, and the color you’d like it highlighted as.

This feature makes it incredibly easy to notice demographic differences at a glance. It’s also a great way to help others quickly make sense of your data.

4. Charts

Do you need a more visual way of displaying data? If so, you may want to use Excel’s charting feature.

This feature allows you to take a ton of data and turn it into a chart, which is typically easier for people to understand and adjust. It can also be very useful if you need to show your event plan or budget to potential customers and corporate clients.

To use this feature, simply highlight the data you want to include, and insert the chart of your choosing. There are many charts to choose from including pie charts and bar charts, as well as other types of graphs and visual representations.
