3. Is there a preferred or exclusive vendor list?

10. What’s the backup plan for weather?

If your venue has outdoor space, ask what happens if it rains. Some rooftops offer clear tents or alternate rooms, and others don’t. Confirm tenting policies and the timeline for calling a weather contingency. 

11. How long is your setup and breakdown window?

Some venues give you an hour. Others offer the full day before.  This can majorly affect your rental costs and staffing plan. Make sure overtime fees and timing restrictions are clear in writing. 

12. Is parking or valet service available?

NYC is a tough place for guest parking. Ask about valet options, nearby garages, or ride share partnerships. If you’re offering transportation, confirm where drop offs and pickups can occur without causing chaos. 

13. What does staffing look like?

Does the venue provide in-house managers, bar staff, or coat check? Or are you staffing the entire thing yourself? Know what’s covered. Also, clarify if there are union requirements or minimum hours. 

14. Can the venue support branding and signage?

Planners often need to hang banners, project logos, or wrap entryways. Check with your venue on restrictions, anchor points, and fire code limitations. Don’t assume anything without written approval. 

15. Are there any hidden fees?
